The Garry Hurvitz Center for Community Mental Health at SickKids (GH-CCMH) is a child and youth mental health center integrated with the Hospital for Sick Children (SickKids). GH-CCMH is also a member of the Thriving Minds Mental Health Access Collaborative with CAMH and SickKids and a core service provider in the Toronto sector of infant, child and youth mental health services funded by the Ministry of Health. GH-CCMH provides prevention, early intervention and health promotion services across the city, funded by MOH and other sources. As such, the Center has an ambitious agenda to provide the highest quality, evidence-based care, offering a range of services from prevention and early intervention to counseling and therapy, assessment and intensive supports. Services are offered in person and in virtual format. We are seeking internal and external applicants to fill a full-time contract position as Senior Leadership Admin Coordinator with our Senior Leadership Team. The successful candidate will support the office of the Executive Director, act as adjunct corporate secretary in support of the GH-CCMH Board of Trustees, provide limited admin support to the Medical Director and work closely with other members of the senior team.
KEY RESPONSIBILITIES
Administrative Support Services
- Manages the office of the Executive Director including, but not limited to, schedule management, meeting preparation, agenda distribution and minute taking, contract management and general logistics
- Provides non-clinical schedule support and expenditure tracking for Medical Director
- Is admin support for Senior Leadership Team meeting, Medical Staff Meeting and Joint Clinical and Operational Team meeting
- Supports ED with internal meetings involving external partners
- Assists with or takes lead on event planning as assigned
- Oversees expenditures within the ED office and monitors variances from budget
- Liaises with the office of the EVP Programs SickKids Hospital (Chair of Board of Trustees)
- Coordinates with other internal and SickKids Hospital departments as needed
- Prepares Board of Trustee meeting package as per workback schedule
- Drafts Board of Trustee minutes with support of Corporate Secretary
- Prepares Board of Trustee in-meeting powerpoint deck.
- Supports other members of senior leadership team with meeting preparation, minute taking and distribution
- Prepares and maintains Organizational Charts
- Maintains supplies and resource inventories for the assigned department ordering items in accordance with policies, procedures and budgets
- Maintains up-to-date knowledge of best practices related to administrative and technological developments
- Makes decisions within instruction and/or guidelines and refers questions to manager
Other
- Complies with organizations code of conduct and code of ethics
- Complies with the organization’s vision, policies and procedures
- Performs other tasks as assigned by management
QUALIFICATIONS
- Post-secondary Diploma in Office/Medical Administration and a minimum of 5 years’ related experience or equivalent combination of education and experience
- Experience with administration in the context of Corporate Governance is an asset
- Excellent verbal and written communication skills to effectively liaise with all levels of staff including clients and families to provide information and /or obtain services
- Good problem-solving skills to organize a variety of administrative tasks and activities meeting staff and clients’ needs
- Strong knowledge of MS Office Suites (Outlook, Word, Excel, PowerPoint, Copilot), as well as ability to use office equipment efficiently (telephone, scanner, photocopier and fax)
- Ability to incorporate values of a culturally competent practice of diversity and inclusiveness in all aspects of work
- Strong organizational skills with an ability to handle multiple projects simultaneously, as well as manage confidential and sensitive material
- Ability to work well under pressure and use sound judgment in assessing difficult situations
- Knowledge of financial and maintenance processes
